Challenge
Curtin University is ranked in the top 1 per cent of universities globally (ARWU 2020), and is Western Australia’s most preferred university. Curtin has campuses in Perth, Kalgoorlie, Dubai, Malaysia, Mauritius and Singapore and has partnerships with more than 90 institutions worldwide.
Signing on as TechnologyOne’s first education customer in 1990 to co-develop Student Management, Curtin University has been running its operations on-premise for the past 23 years.
“There were a few key drivers that prompted us to move to SaaS. As part of our ongoing business evolution, we identified that we needed to be working on the latest platform because of the new TCSI reporting requirements,” said Michele Poepjes, Director Business Operations and Student Systems.
TCSI is a joint project of the Department of Education and the Department of Human Services (DHS) to transform how student information is collected.
“The vision of Student Services is to provide our students and staff with a seamless experience that will enable them to complete administrative activities from any device, at any time, anywhere in the world.
“While we knew we had the student management systems in place with TechnologyOne, the next step was looking at our baseline technical infrastructure to become more flexible and agile, and we knew that an on-premise environment was unsustainable in the long term,” said Poepjes.
Solution
Curtin University signed a 10-year SaaS agreement with TechnologyOne to digitally transform its administrative and student management processes for more than 56,000 students and 4,000 staff.
Outcome
“The move to SaaS presented Curtin with opportunities to adopt new technology and look at ways to integrate many of our services and systems, while also building a foundation for a consolidated 360-degree view of the student," said Chief Student Services Officer, Neville Hiscox.
Poepjes added, “It also enables us to accelerate the ongoing digitisation of our services, making full use of Ci Anywhere, and to grow our global marketplace and provide one Curtin experience across all of our campuses.”

Curtin University's perspective
With a previously unwieldy and time-consuming process in place to manage class registrations, Curtin has now been able to test the system under heavy load. “We had 520 registrations a minute during the first hour, and within the first few days had 96,567 successful registrations in total,” said Leah Bromilow, Manager, Student Systems.
“From the financial side of things, the scalability of the system is important, for reporting periods like year-end where we have a high number of processes going through the system,” said Thomas Griebel, Manager for Finance Business Improvement.
“We get more firepower, because it’s a platform which is scalable and maintained in the cloud, as opposed to being restricted to servers which are on-premise.”
